Primary Objective
The Senior Manager, Inbound and Inventory is a critical leadership role responsible for the strategic direction, execution, and continuous optimization of all Incoming goods and inventory control functions. This role owns the complete "Dock-to-Stock" cycle and guarantees the absolute integrity of physical inventory against the Enterprise Resource Planning (ERP) and Warehouse Management System (WMS) records. The incumbent must demonstrate critical thinking and handling of complex warehouse operation with a large team.
Responsibilities and Accountabilities
- Oversee the scheduling and prioritization of inbound container arrivals, ensuring efficient grounding and rapid destuffing to eliminate container demurrage and port storage fees.
- To ensure improvement in process and efficiency through system integration and strong rapport with the team, logistics, buying and suppliers.
- Streamline receiving workflows to accelerate the transition of goods from inbound staging lanes to pick bins and high rack, beating established cycle-time targets.
- Establish rigid protocols for checking inbound shipments against Packing list, ensuring all short-shipments, damages, or supplier errors are digitally logged and escalated immediately before stock placement.
- Prepare receiving schedule weekly in coordination with the buying team to ensure faster truck turnaround time for local suppliers.
- Own the Cycle Counting program and full physical stocktake bi-annually or as scheduled by the management, ensuring the warehouse consistently hits or exceeds an accuracy target of 99.5% or greater.
- A typical daily routine for this position includes distinct opening and closing protocols including Key movement registers, facility check, dock door inspections.
- Act as the lead investigator for all inventory posting variances. Conduct root-cause analysis on system discrepancies, adjusting physical and system workflows to eliminate stock leakage and administrative write-offs.
- Keep track of replenishment to ensure all the pick bins are to the optimum as suggested by ERP for next day order fulfillment.
- Ensure periodic checks of expiry and identify FEFO/ FIFO movement of the stocks, timely reporting to mitigate expiry risks and eliminate product write-offs.
- Adherence to regulatory quality standards for temperature-sensitive inventory. Ensure inbound cold chain lines are prioritized, validated, and transferred to specialized storage zones without breaking thermal stability thresholds.
- Lead, mentor, and structurally organize the inbound and inventory teams across all levels.
- Partner closely with Outbound, Logistics, and Category management team to align the daily tasks and manage overall supply chain workload and inventory levels with fluctuating demands, preventing stock issues and inventory inaccuracy.
Skills and Competencies
- Strong leadership and people management skills, with the ability to effectively lead, coach, and develop large operational teams of 20+ employees.
- Extensive knowledge of warehouse operations, inbound logistics, inventory management, and distribution centre processes within retail, wholesale, FMCG, healthcare, or pharmacy environments.
- Advanced proficiency in Warehouse Management Systems (WMS), including scan receipting, putaway, replenishment, cycle counting, and RF device operations.
- Sound understanding of ERP systems for inventory monitoring, operational reporting, and performance management, preferably PRONTO.
- Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, data analysis, and complex formula application for large datasets.
- Ability to analyse operational and inventory data to identify trends, improve accuracy, and support informed decision-making.
- Exposure to Power BI and the ability to interpret and present data through clear and meaningful dashboards and reports.
- Strong analytical, problem-solving, and process improvement skills with a continuous improvement mindset.
- Excellent communication and stakeholder management skills, with the ability to collaborate effectively across departments and management levels.
- Effective time management and organisational skills, with the ability to balance strategic responsibilities and hands-on operational support.
- Strong attention to detail and commitment to maintaining inventory accuracy, compliance, and operational excellence.
- Demonstrated adaptability, initiative, and a proactive approach to learning, driving change, and achieving business objectives.
Required Certifications
- Tertiary qualification in Supply Chain Management, Logistics, Warehouse Management, Business Management, or a related discipline.
- Professional certification in Supply Chain, Logistics, Inventory, or Warehouse Management.
- Certification in Warehouse Management Systems (WMS) or ERP platforms is highly desirable.
- Advanced Microsoft Excel certification or equivalent demonstrated competency is preferred.
- Power BI certification or experience in data visualisation and reporting is advantageous.
- Occupational Health and Safety (OHS)/ Workplace Health and Safety certification relevant to warehouse operations is desirable.
- Forklift Licence and/or certification in warehouse equipment operations would be an advantage, where operationally required.
- Continuous Improvement certification (Lean, Six Sigma, or equivalent) would be highly regarded.
