Primary Objective

The People & Culture Assistant provides administrative and operational support to the People & Culture team. The role is primarily responsible for assisting with document management, work permit and visa application preparations, filing, records administration, and supporting People & Culture officers with day-to-day administrative tasks.

Accountabilities

  • Provide administrative support to the People & Culture department.
  • Assist with the preparation, collation, and submission of documentation required for work permits, visas, and other regulatory lodgements.
  • Maintain accurate employee records and filing systems.
  • Ensure all People & Culture documents are securely stored and readily accessible.
  • Support People & Culture Officers, Coordinators, and Managers in administrative activities.
  • Prepare reports, trackers, and status updates as required.
  • Respond professionally to internal enquiries and redirect matters to the appropriate People & Culture personnel.
  • Assist with departmental projects and initiatives as directed by the People & Culture Operations Manager.

Responsibilities

Immigration & Employment Documentation Support

  • Collect, verify, and organize documentation required for:
  • Work Permit applications
  • Employment Visa applications
  • Visa renewals
  • Permit renewals
  • Other government compliance lodgements
  • Maintain trackers for permit and visa expiry dates.
  • Liaise with employees and managers to obtain outstanding documents.
  • Prepare application packs for review by the responsible People & Culture Officer or Manager.
  • File and archive permit and visa documentation accurately.

Records Management & Filing

  • Maintain physical and electronic personnel files.
  • Ensure all employee documentation is filed accurately and confidentially.
  • Organize and archive historical records according to company procedures.
  • Conduct regular audits of employee files to ensure documentation completeness.

Administrative Support

  • Assist with preparation of employment documents, letters, forms, and reports.
  • Support onboarding administration and document collection.
  • Schedule meetings and coordinate administrative activities for the People & Culture team.
  • Prepare correspondence and maintain departmental records.
  • Assist with data entry and updates within HR systems and databases.

Team Support

  • Provide administrative assistance to People & Culture Officers and Coordinators.
  • Support internal employee events, engagement activities, and departmental initiatives.
  • Assist with logistics for training, inductions, and People & Culture programs.
  • Undertake additional duties as delegated by the HR Operations Manager.

Technical Skills

  • A degree ,diploma or Certificate in Human Resources, Business Administration, Office Administration, or a related field.
  • Previous administrative experience desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with document management and filing systems preferred.
