Key Responsibilities:

1. Administrative Responsibilities

  • Manage office supplies, equipment, and vendor coordination.
  • Organize and schedule meetings, appointments, and internal events.
  • Handle incoming and outgoing communications (emails, letters, calls).
  • Maintain accurate records, databases, and documentation systems.
  • Assist with travel arrangements and expense reporting.
  • Ensure smooth day-to-day office operations.

2. Collection Coordination

  • Coordinate with clients/customers regarding outstanding payments.
  • Track and manage accounts receivable records.
  • Follow up on pending invoices and ensure timely collections.
  • Work closely with the Finance Department for reconciliation and reporting.
  • Maintain accurate documentation of all collection efforts and communications.

3. HR Coordination

  • Assist in recruitment activities including posting job advertisements, shortlisting, and scheduling interviews.
  • Support employee onboarding and offboarding processes.
  • Maintain and update employee records, personal files, and HR databases.
  • Prepare HR-related letters and documentation (appointments, confirmations, etc.).
  • Provide support in implementing HR policies and internal initiatives.

Requirements:

  • Diploma or Degree in Human Resources Management, Business Administration, or related field.
  • Minimum 2-3 years of experience in HR and/or administration (preferred).
  • Strong communication and interpersonal skills.
  • Good knowledge of MS Office (Word, Excel).
  • Ability to multitask and handle confidential information professionally.
  • Strong follow-up skills, especially in collections coordination.
  • Ability to work independently with minimal supervision.
