Responsibilities:
Reporting to the Operations Manager, you will be responsible for and not limited to the following:
- Maintaining client corporate records ensuring compliance with all legal obligations
- Assisting with the administration of company transactions, including share transfers and board appointments
- Exposure to a wide range of stakeholders including Finance, Legal, Executive and Board members and third-party regulatory authorities
- Responsible for a wide range of tasks from business name registrations to processing annual company statements
Entity Establishment:
- Companies (name reservation, standard company, trustees)
- Trusts (discretionary, unit, wind-up, variations)
- Self-managed superannuation funds (standard, variations, holding trust)
- Deceased estates
- Registrations of director ID, ABN & TFN
Corporate Actions and Compliance:
- Share changes (issues, transfers, cancellations, buy-backs)
- Officeholder changes (appointment and cessations)
- Address changes
- Annual company review and solvency declarations
Business Administration:
- Officeholder registers
- Share registers
- Capital table management
- Secure storage of company/trust registers and permanent documentation
- Document Internal policies and procedures
Finance Administration:
- Supporting the administrative efforts of collecting debtors within the Finance Team
- Supporting the administrative efforts of invoicing, AP and AR.
Requirements:
- Experience in a similar position where your role included legal and / or company secretarial support
- Detail-oriented, proactive and self-sufficient
- Great organisational, verbal and written communication skills
- Flexible and able to work in a fast-paced environment
