Responsibilities:

Accounts Payable & Receivable:

  • Process weekly Accounts Payable transactions, compile spreadsheets, obtain approvals, and manage payments in Xero.
  • Track and follow up on accounts receivables.

Timesheet Management:

  • Oversee timesheet entries, verify accuracy, and ensure timely submissions.

Invoicing:

  • Handle 10 - 20 invoices per week, ensuring accurate data entry and processing in Xero and Hubdoc.
  • Follow-up on invoices in dispute to ensure timely payments and investigation of invoicing that have not passed matching criteria.

Quotation Payment Follow-ups:

  • Assist in generating quotes, uploading them into the system, tracking invoices, and following up on payments.
  • Reconciling supplier statements monthly.

General Ledger Entries:

  • Maintain accurate financial records and ensure proper journal entries for all transactions.

Contractor & Supplier Management:

  • Review and process contractor and supplier invoices, manage payments, and ensure compliance with contract terms.
  • Liaising with suppliers to handle accounts payable queries.

Quotation Review:

  • Evaluate quotations from suppliers and contractors, ensure competitive pricing, and communicate them to clients.

Financial Administration:

  • Support financial reporting, maintain organized records, and ensure compliance with financial policies.

Communication & Coordination:

  • Engage with internal teams, vendors, contractors, and clients for financial queries, approvals, and payment collections.
