Role Purpose:
The job holder is responsible to work with HR team to support operational HR aspects & Administration work in Swivel in the below designated areas. The job holder will be reporting to the Assistant Manager HR while having dotted line reporting to Head of Human Resources.
Responsibilities:
Managing Attendance & Attendance Report
- Checking attendance details in the MintHRM daily
- Sending reminders to those who missed to mark their attendance
- Ensure attendance details of the Tech are updated in MintHRM on a weekly basis by the following week Monday EOD.
- Escalate any frequent non compliances to HHR.
- Generate reports for HHR to validate leave details against the timesheets submitted.
Assist for Onboarding Activities:
- Work with AM-HR and support onboarding activities as necessary
- Assigning PAL via discussion with HOD
- Coordinating with PAL and sharing candidate information with PAL
- Creating a welcome post (Canva) and sharing it with the candidate in coordination with the Marketing Team
- Support AM HR on documentation requirements on day one
- Prepare and update the recruitment checklist and ensure the necessary documentation and equipment are collected
- Get new employees to fill ABH form within the first day
- Prepare the letters to ABH form submission
- Submit to labor department via office assistant and collect after 2 weeks
- Update onboarding checklists and forward them for HHR approval
- Coordinate for new joiner feedback
Reports, Documents & Surveys:
- Support AM-HR to manage operational work in the below reporting requirements;
· Headcount Report
· Weekly Timesheet reports.
· Work arrangement report
· Operations Report
· Attrition report
· Employee Engagement Report
- Support HHR in creating surveys and managing dashboards.
Assist for Off-boarding:
- Organizing exit interviews with HHR and/or HOD
- Maintain exit checklist in coordination with AM-HR, Lead – Ops and Department managers.
- Submit the completed Offboarding checklist to HHR
HRIS Support:
- Attending to MintHRM system related work requirements of employees
- Work with AM-HR on managing Employee lifecycle updates
- Generating leave reports
- MintHRM report generation for daily work requirements of HR & Other departments.
Support for Talent Management:
- Support HHR in organizing
- L& D Initiatives
- Coordination on Performance appraisal related work & follow ups
