Project Management/Admin Associate - Remote

Medics.Academy is seeking a highly organised and proactive Junior Project Management/Admin Associate to support our business development and operational functions. This role is for individuals with experience of internships, ideally 1 year of work experience, in project management, administration, or business development within ideally the healthcare or education sectors. The successful candidate will assist in project planning, stakeholder engagement, and administrative coordination, ensuring smooth execution of initiatives.

Key Responsibilities:

  • Assist in planning, implementing, and tracking projects within the Business Development team.
  • Review and respond to project related emails, messages, and communications in a timely manner.
  • Support the task, resources and project requirements, ensuring deliverables are met in a timely manner.
  • Maintain strong relationships with internal stakeholders, keeping them engaged and informed.
  • Support the team to liaise with external stakeholders to facilitate project collaboration.
  • Manage and maintain the Partnership contact database.
  • Compile Commissioners Reports and manage the Partner Meeting Minutes Database.
  • Schedule and organise monthly, quarterly and annual partner catch up/review meetings.
  • Compile departmental and OKR reports.
  • Manage the Business Development Trello Board and Business Development G Drive.
  • Provide weekly updates on Business Development activities to management.
  • Oversee the maintenance of Partner Portals and development of Mobile App Workspace.
  • Assist in designing partner pitch decks and developing Partner proposals/MOUs.
  • Support Partner contract management and assist in compliance management.
  • Prepare and present project progress reports to management.
  • Participate in projects and initiatives as assigned by senior management.
  • Handle urgent project issues, implementing practical solutions.
  • Attend supplier briefing meetings, seminars, and partnership development workshops.

Requirements:

Essential:

  • Experience with internships in project management, administration, or business development
  • Strong organisational and multitasking skills, with the ability to prioritise tasks effectively
  • Excellent communication and interpersonal skills, with the ability to collaborate across teams
  • Proficiency in G Suite
  • Strong analytical and problem solving abilities
  • Ability to adapt to changing priorities and work well under pressure

Desirable:

  • Proficiency in project management tools (e.g., Trello, Miro)
  • 1 year of work experience, preferably within healthcare or education
  • Interest in digital health, medical education, and healthcare innovation
